Universal Messaging and messaging convergence are one of the grand goals of improving office efficiency; the aim is to use a digital solution to route incoming calls, allow users to handle and manage voice mail, send and receive faxes, and a host of other digital office requirements. Nortel has been the industry leader in providing these features with the Nortel Meridian call hub PBX system, and as the ways to handle interoffice and intra office communication have proliferated (faxes to emails to audiovisual clips, to power point presentations and more), Nortel has been on the forefront of providing the technology and the integrated support and services agreement that makes them go.
Nortel's PBXs can handle Ethernet and DTMS/analog phone systems, as well as support features for higher end desktop phones, including call forwarding, automated response systems and call volume tracking and statistics. It's worth looking into a package deal for both the Meridian system and the phone installations. Nortel's acquisition by Avaya allows Avaya's (formerly Lucent's) network of resellers and installation agents to provide the sales and initial installation for getting a Meridian PBX installed at you business.
Nortel's Meridian system is a blade server running a set of hosted telephony and IP related services (the entire package has been voice over IP since 2003), and allows it to work as a PBX and interface with the company's mail servers and other servers. When combined with the Call Pilot client software, this allows a Nortel network to provide voice activated menus that allow the users to check emails over the phone, or have them pushed to their mobile devices, and even includes a text to speech engine so that emails can be read to the user by the computer.
Call Pilot's integration model synchronizes everything through the email client level; this allows it to handle most email clients natively and thus reduces your training costs. There are plug-ins for most modern email programs and quite a few legacy ones. When you leave a voice mail on the system, it sends an email confirmation with the name and the time the voice mail was left, and will also notify you when the voice mail was listened to. Like most speech centric programs, Nortel Call Pilot allows you to fast forward through a voice stream with a slider, and even to save the voicemail as an audio file and email it as an attachment. It also has the ability to switch playback from a PC's speakers to the phone at your desk (or vice versa) if needed, a handy touch.
What really sets the Nortel Call Pilot installation apart is the Integrated Voice Recognition (IVR) tools -- you can speak to the phone and have it handle most of the routine tasks you'd be doing in a voice mail menuing system (or you can log in to your mailbox with your email client and do the same thing). What IVR lets you do is work hands free with most of your digital communications tools.
As with any digital initiative of this magnitude, getting the details right is important, and is largely a function of how good your Nortel reseller is and how well they understand your needs, plus the integration of hardware and software.
